Summary:
Reporting to the Executive Vice President for Academic Affairs and Provost ("Provost"), the Academic Operations Administrator oversees and manages the complex administrative and operational activities of the Provost's Office. Directs and/or performs research on matters of importance to the office, and drafts cogent, results-oriented documents targeted to specific audiences to advance the agenda of the Provost's Office. Advances and monitors progress on the office's initiatives, and identifies, assigns, prioritizes, tracks workflow, and ensures completion of specific assignments and projects. Facilitates communication and collaboration, and handles issues, and concerns addressed to the Provost's Office, including those of a sensitive and confidential nature. Assumes primary responsibility for selected projects/initiatives as directed. Responsibilities include, but are not limited to: providing comprehensive operational support for Provost's Office functions, including compliance reporting, curricular workflows and processes, faculty conference funding, and grant processes; project planning and management; and oversight of the Academic Affairs Division's operating budgets. The individual holding this position is proactive, takes initiative, is efficiently and effectively responsive, undertakes projects with minimal direction, and analyzes and summarizes information for reports. Work and information handled is of a nature regularly requiring confidentiality and discretion.

Education/Experience:
Masters degree in an appropriate academic discipline plus four years of progressively responsible experience in higher education administration, or equivalent combination of education and experience.
Knowledge/Skills/Ability:
- Experience in a high-level administrative role in higher education.
- Advanced verbal and written communication skills, including professional experience in drafting, preparing, and reviewing correspondence, reports, and presentations.
- Demonstrated excellence in research, analysis, and reporting.
- Ability to multi-task and manage multiple projects and priorities under deadlines while maintaining a high level of professionalism and attention to detail.
- Ability to exercise sound judgment, tact, and discretion, and maintain integrity with handling sensitive and confidential information.
- Strong organizational skills that reflect the ability to prioritize and perform multiple tasks effectively within a complex office environment with excellent attention to detail.
- Demonstrated proficiency with Microsoft Office, Word, Excel, Outlook, PowerPoint and/or SharePoint.
- Capability to read texts closely and to interpret them accurately.
- Successful budget management, including analysis and assessment of trends in spending.
- Ability to work independently as well as in close collaboration with others.
- Strong interpersonal skills and demonstrated ability to build relationships with stakeholders.
- Demonstrated ability to achieve high performance goals and meet deadlines in a face-paced, high-pressure environment.

Physical Requirements:
Medium work: Exerting up to 50 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Sitting, standing, walking, talking, hearing, keyboarding and repetitive motions. Close visual acuity. Subject to inside and outside environmental conditions. Position requires additional hours for meetings and events, including days, evenings, and weekends.
Essential Functions:
- Serve as Academic Operations Administrator by running the daily and longer-term operations of the Provosts Office and managing the flow of communication.
- Maintain an organizational framework for tracking, filing, and managing all information and data generated, collected, and/or processed by the Provosts Office.
- Communicate with internal and external constituencies on behalf of the Provosts Office.
- Compose, prepare, and review written communication, correspondences, reports, organizational charts, policies, publications, promotional materials, spreadsheets, presentations, and other such deliverables as needed by the Provosts Office.
- Identify and resolve conflicts independently, whenever feasible.
- Follow-through on projects, often with deadline pressures.
- Work in close liaison with all internal offices so as to provide a bridge for smooth communication between them and the Provosts Office.
- Manage selected compliance reporting for the Provosts Office, including, but not limited to, the licensure disclosure process for relevant academic programs, Department of Defense Voluntary Educational Institutional Compliance, and Office of Research Integrity reporting.
- Manage faculty conference funding, internal grant processes, and the Institutional Research Board processes.
- Coordinate curricular workflow and processes to ensure appropriate review by the Academic Affairs Leadership Council and collaboration with the Faculty Council Academic Affairs Committee.
- Serve as the Academic Affairs lead or back-up on signature events and processes, including but not limited to the Paul D. Lack Scholars Showcase, Student Scholarly and Creative Works Summer Grant Program, University Commencement, and others.
- Interact with all levels of management and external executives, often dealing with confidential information that requires a high level of interpretation, persuasion, and discretionary skills.
- Research, gather, develop, and compile data associated with special assignments and meetings for the Provosts Office.
- Develop briefing materials and presentations on behalf of the Provosts Office. Use computer databases, electronic spreadsheets, desktop publishing, word processing, or other applications to present data.
- Perform specialized administrative duties as required or deemed necessary to meet the overall goals for effective administration of the Provosts Office, using discretion to make judgments based in operating guidelines.
