The Student Employment Coordinator will oversee campus employment activities related to the Federal Work Study Program, Academic Service Scholarships and the Job Location and Development Program. This position will be the primary administrator of the JobX/TimesheetX System and will manage the creation of users, jobs, hiring students, and ensuring timesheets are submitted on time. The Student Employment Coordinator will work with area employers and departments around campus to establish career and professional development opportunities for currently enrolled students.

Duties and Responsibilities:

Payroll/System Responsibilities

Ensure timesheets are entered accurately into the TimesheetX system and submitted on time (responsible for entering any late timesheets); work with the Banner Office and UT payroll office to finalize biweekly pay in TimesheetX; reconcile payroll of FWS and ASSP in TimesheetX and in IRIS; ensure that hours and balances are tracking correctly and address any issues; maintain reconciliation reports each pay period and forward requested reports to departments; ensure that Banner data matches TimesheetX and makes corrections as needed.

Recruitment Responsibilities

Create new users, departments, and jobs according to request from campus employers and approves all new hires; work closely with University Career Services to connect students to resources and provide new resources; establish relationships with local/off-campus part-time employers and participate in career events; track earnings of hires to be reported on the FISAP; counsel with students and parents to determine what jobs may be right for the student; develop and update content for the Job Location and Development and Federal Work Study web pages.

Financial Aid/Award Responsibilities

Review eligibility and award funds for federal and state aid with full authority to commit funds; ensure all campus based awarding is kept within budgetary parameters; ensure that Federal Work Study regulatory allocations (i.e., Community Service Learning) are followed, including the creation of workshops, programs, and events focused on the development of student employees who work at UTC; counseling with students and parents regarding the financial aid process, their eligibility and availability for funding to help finance their education expenses at UTC.

Administrative Responsibilities

Serve as a primary point of contact for Federal Work Study and Job Location and Development and all JobX/TimesheetX questions and technical issues; work directly with the vendor and Banner team to troubleshoot system errors and files; serve as the campus trainer for staff and students who are new to the JobX/TimesheetX System; responsible for entering, auditing, and maintaining hiring records on the IRIS system; responsible for scanning and indexing all employment related documents to the student's IRIS records and ensuring we meet all federal and state laws related to the retention of employment records and files.

Manage the administrative duties in the office; maintain inventory, order supplies, and manage surplus of office items; verify and reconcile office procurement cards & departmental ledger monthly; edit and update content on the Financial Aid Webpage.

  • Basic computer skills including MS Office Suite
  • Ability to work in a highly stressful environment and possess a high energy level
  • Excellent oral and communication skills
  • Must be comfortable talking in front of groups of students/parents about financial aid and in an individual one on one setting
  • Must be comfortable working autonomously with new software

Minimum Qualifications: Bachelor's degree in Business or related field; three years of relevant office experience; one year experience in recruitment or placement; previous experience in a Student Financial Aid Office.

Preferred Qualifications: Previous experience using IRIS and/or Banner, experience working with students in a job placement capacity.
