Job Description
Under general supervision, performs complex administrative support duties of a responsible, sensitive and confidential nature requiring considerable independence of action in support of high-level executives of the Office of the Senior Vice President for ASU Educational Outreach and Student Services.

Essential Duties
  • Manages or assists in the management of multiple executives calendars.
  • Works closely with other university offices in coordinating the executives involvement in university events.
  • Coordinates and arranges for executives travel; processes travel reimbursements.
  • Compiles, prepares, and maintains background material related to meetings, events and travel; coordinates and tracks follow-up as needed.
  • Independently composes correspondence on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Professionally handles multiple priorities with accuracy, efficiency, confidentiality and outstanding customer service skills. Serves as contact for and liaison with the community, various stakeholders, students, faculty and staff, as well as all internal administrative offices.
  • Oversee and coordinate events for Senior Vice Presidents office, including arranging equipment and catering; sending invitations and managing RSVPs.
  • Maintains files; completes requests, records, submits and tracks all purchase requests, utilizing university and departmental processes.
  • Accurately compiles and prepares confidential data for reports, correspondence and presentations.
  • Provides word processing, and processing of correspondence and e-mail.
  • May assist the department with such support functions as conference room scheduling, classroom scheduling and preparation for meetings.
  • Answers phones, greets visitors, and directs questions to appropriate offices for resolution.
  • Schedules and may attend meetings and conferences.
  • Collaborates with other support staff in Senior Vice Presidents office, engaging in strong teamwork to support the office and its executives.
  • May provide back-up to other support staff in the Senior Vice Presidents office.
  • May provide general office support along with other administrative support staff, such as receiving and screening telephone calls and visitors, unlocking and locking main suite doors and other opening and closing duties, reviewing incoming mail.
  • Performs special assignments as requested by senior leadership or supervisor.


Required Minimum Qualifications
Bachelor's degree and five (5) years of executive-level administrative support experience; OR, Nine (9) years of executive-level administrative support experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualificiations
  • Demonstrated knowledge of University policies and procedures OR comparable knowledge and experience.
  • Experience in a wide variety of administrative functions including calendaring, scheduling, PowerPoint, and word processing.
  • Experience in dealing with a wide range of topics, including confidential and sensitive information.
  • Experience in having tact and diplomacy and in maintaining effective working relationships.
  • Evidence of effective communication skills.
  • Experience supporting high level executive positions.
  • Experience in quickly changing priorities which may include and/or are subject to resolutions of conflicts.
