Job Description:
The Budget Administrator will handle a wide variety of administrative tasks such as departmental supplies purchasing, assist in all aspects of business operations including payroll and HR forms, and perform daily, weekly, monthly accounting functions including completing various reconciliations. Support the Director of Budget, Administration and Business Analytics. This position is the primary support person for the Director of Budget, Administration and Business Analytics. The Budget Administrator provides highly skilled administrative support for the daily operation of the Dean's Office. They must be able to work well under stress and be able to handle multiple tasks despite interruptions.

This position requires strong organizational skills, mature judgement and the proven ability to handle confidential and sensitive issues. Responsible for analysis of data and troubleshooting effectively when needed; create reports, design and conduct analytical research including preparing interpretive analyses and presenting findings in narrative and graphic forms. This role also handles the duties of the Dean's office Information Coordinator, processing FAST and other IT requests as needed. Must frequently use independent judgment and planning to relieve the Budget Director of many of their routine administrative matters.

Responsibilities:
  • Credit Card, epro; other internal ordering and forms completion for administrative members of Dean's Office. Understanding and interpretation of chartstrings and workflow essential.
  • Prepare and review travel vouchers according to SU acceptable travel policies.
  • Prepare and review employee expense vouchers' Determine appropriate format and process requisitions, purchases, disbursements, interdepartmental orders, etc. according to proper protocol.
  • Assist with budget preparation through developing departmental and account level analyses of purchases and payment activity.
  • Develop journal entries as needed during review and reconciliation processes.
  • Create and file electronic documentation of budget office activity as needed.
  • Weekly and semi-monthly for ECS HR/Payroll related entries, including PARs, RAPs, time sheet adjustments and approvals.
  • Input (PERs) and maintain HR appointments for Dean's Office faculty and staff.
  • Collaborate where necessary, with Slutzker Center regarding international hiring guidelines.
  • Approval of semi-monthly exception and weekly time entries.
  • All Dean's accounts; other accounting activities such as journal entries, Account Reconciliations, and develop and prepare ad hoc reports as needed, using Data Insights, for estimating results and long-range planning in the College of ECS.
  • Assist Director with interpreting results and updating Hyperion budget worksheets as required by the Office of Budget and Planning.
  • Assist with Dean's Office JPMC reconciliations (online credit card system) to ensure timely and accurate completion.
  • Audit reconciliations for correct chart strings. Responsible for preparation of reconciliation for procurement cards for certain members of Dean's staff.
  • Manage sponsored research awards activity for Associate Dean for Research.
